Opening a wellness center is a major milestone for any employer or union. Leading up to go-live, generating excitement about the new wellness center will be critical to setting the stage for its long-term success. But once the ribbon is cut and the doors are opened, that’s when the real work begins – building on your existing communications, creating engagement, driving utilization, lowering healthcare costs, and making an impact for your members. 

Wellness center engagement is what drives real success, turning your investment into meaningful outcomes. High engagement with your new wellness center means employees can address issues sooner with primary care, reducing long-term costs and driving greater savings and ROI. Read on for three key member engagement strategies to implement after opening an onsite or nearsite wellness center.  

Step 1: Build Awareness Before You Open — Make the Center Impossible to Miss

Gone are the days of “build it and they will come.” If employees don’t know the wellness center exists (or aren’t sure how to use it) they won’t engage. But let’s be clear: You should have a communication strategy before your doors even open.  

While your communications strategy should ramp up once the wellness center opens, employees should be aware of the wellness center months in advance. That means announcing the center and its services early – and often! Whether that’s posting sneak peek pictures of the construction site on your social media, using clear signage on campus, or sending out updates in internal channels, spread the word!  

Your communication strategy should also: 

  • Answer frequently asked questions in simple, clear language  
  • Highlight the center and its staff 
  • Reinforce why the center exists (to care for them!) and what employees can expect 
  • Include virtual care promotion, in addition to in-person services, if applicable 

This approach builds anticipation and reduces confusion, two key ingredients for early adoption.  

Step 2: Connect Care to What Matters — Turn Services into Everyday Solutions

To drive meaningful wellness center engagement, show employees how your center fits into their everyday lives. One way to do this is by marketing your wellness center services as part of seasonal health campaigns or trending health needs. Offer flu shots in the fall, recommunicate mental health resources during high-stress seasons, run biometric screenings at the start of the year to kick off healthy habits, and take advantage of Open Enrollment — when employees are already making decisions about healthcare benefits — to remind them about their access to the wellness center and services.

Another step is to host member events that fit seamlessly into the workday. Whether it’s an open house, a provider meet-and-greet, or an annual health fair, these events should create connections and break down barriers to trying new services.

Don’t stop at events! Use email campaigns, health center websites, webinars, or newsletters to keep wellness top-of-mind and give your people ongoing reasons to engage as they go about their day-to-day life. In 2024, a market research firm found that 70% of members with access to employer-provided healthcare prefer to receive information at least monthly regarding their benefit — reinforcing that cadenced communications will drive utilization of available services. One nonnegotiable is building a dedicated website just for your health center, making engagement truly convenient and allowing employees to explore services, book appointments, and find resources.

Step 3: Stay Dynamic with Data — Let Insights Drive Engagement

If it happened and you didn’t track it, did it happen at all? Don’t just launch the center and move on; track utilization and engagement. It all goes back to data and how you leverage your healthcare engagement metrics.

Start by using your data to segment your outreach to different groups in your population, such as new hires, pre-engaged members (i.e., those who have not yet used the center), caregivers, or those in need of chronic condition management. People are more likely to read and engage with your campaign’s content when the messaging is relevant to their life and healthcare journey.

Then, track what’s working using metrics like appointment bookings, portal signups, and campaign engagement. It all starts by building strong connections with your people, and member events are one of the most powerful tools to make that happen. Events do more than fill a calendar; they create memorable experiences that foster trust, build relationships, and keep members engaged in their health.

Why Events Matter

Events are a proven way to boost engagement and satisfaction with your wellness center. It’s that time of year again! Premise Health hosted its ninth Client Forum on April 2-4, 2025, in Nashville, Tennessee. The conference brought hundreds of leaders to Music City for networking opportunities, thought leadership discussions, and fun-filled events unique to Nashville.  

Taking Health Forward was the theme of this year’s Premise Health Client Forum. Here are five key takeaways from the event that organizations can put into practice when it comes to their approach to employee health and wellbeing.   

Takeaway #1: Make care easily accessible for your people. 

Healthcare is complicated, but benefits don’t have to be. By 2036, it is estimated the U.S. will be short 72,000 family medicine and internal medicine physicians. In response to this trend, many benefits leaders are working to make primary care convenient for their people. That means same-day appointments, minimal wait times, virtual care, and more. As one leader said at Client Forum: “Better access and better health outcomes will equal better results.”  

During the event, we heard from many organizations who shared their approaches to meeting people where they are and removing barriers to high-quality healthcare. One auto manufacturer utilized claims data to reveal their highest plan spend was on orthopedic surgeries and behavioral health hospitalizations, so they decided to bring occupational health and behavioral health care onsite for their employees. This Premise client noted the difference in health outcomes: “The quality of employees’ lives has greatly improved. They’re not lost in the healthcare system. They’re part of a holistic system that wraps around them for support. This is translated into deeper loyalty to the company.” 

The takeaway? No matter the size of your organization, the first step to better health is better access to care.   

Takeaway #2: Consider the member experience.  

Gone are the days of “build it and they will come.” Instead, leaders in several sessions shared that successfully driving members to the doctor requires a layered approach. It may sound simple, but employers need to tell pre-engaged members about their benefits. And don’t just remind them once – remind them again and again!  

Improving the member experience is critical to increasing engagement and utilization of your health center. Don’t rely on a single tactic or method to get members through your physical or virtual wellness center door. Consider a marketing strategy with frequent, cadenced touchpoints to keep your wellness center top of mind for all. Some components that prove successful include monthly awareness emails, mailers, collateral, and a microsite.  

“It’s about accompanying the patient through their journey – not just their medical care,” explained one leader at an organization known for prioritizing the experience of its employees. She shared that improving health means connecting with employees in many different ways and empowering them to take charge of their wellbeing.

Takeaway #3: Integrate data to improve health outcomes.  

More organizations are turning to claims data to help them better understand where care gaps exist and how they can fix them. Population health data gives you a broad view of your people’s needs. This is especially true for high-risk, high-cost members, as claims data lets you take a closer look at this population to see what conditions they are experiencing or potentially at-risk for. With secure access to this information, both data analysts and providers can work together to proactively engage members and encourage them to visit their wellness center to keep their health in check.  

In one breakout session, a Premise client shared they increased member attribution by 64% by leveraging their claims data to engage in data-driven outreach campaigns. Digging into their data also helped them see a 36% reduction in emergency room visits, a 43% reduction in inpatient hospital admissions, and a 28% increase in routine and preventive office visits. This same client noted in a breakout session, “Data isn’t the answer – but it can help get you to the answers. It’s a starting place.” 

Takeaway #4: Cater healthcare to your population.  

Reaching members who need care the most was also a focus area at Client Forum. Six in 10 Americans have at least one chronic disease, while four in 10 have two or more chronic conditions. Many organizations are reckoning with increased diabetes, obesity, behavioral health, and hypertension diagnoses among their employee populations.  

For one organization with increased diabetes and hypertension diagnoses in their employee population, a provider remarked that addressing the rising need is about integrating care. He said, “How do we make it easy for people? How do we make them feel supported in their care journey? We have the philosophy of ‘right care at the right time.’ For us, it’s about taking the barriers away.” To help overcome these barriers, this organization implemented a diabetes education program into their benefits package.  

Several clients shared that offerings such as care management are helping their high-cost and high-risk individuals – typically those with chronic conditions – with personalized health plans. “Care managers are really an extension of our providers,” explained one organization that offers a care management program. In the program, Premise care managers work with members directly to design tailored strategies to help them manage their health. These data-driven “care roadmaps” are completely customized to members’ needs, making it an experience that is personal and effective when it comes to managing chronic conditions or comorbidities. This results in happier employees – and employers.  

Takeaway #5: Turn your attention to alternative health plans. 

Healthcare is becoming unaffordable for many Americans. One way to avoid the fee-for-service model and make care more affordable is by encouraging people to prioritize primary care. Research shows this approach results in lower costs and better outcomes. As a result, an increasing number of employers are turning toward alternative health plans. “Employers need a model that prioritizes proactive care, controls costs, and simplifies healthcare for employees and dependents,” noted Ashok Subramanian, founder and CEO of Centivo, an innovative health plan for self-funded employers. “[There is] radical affordability for the American worker by investing in primary care.” 

Premise recently announced a partnership with Centivo to offer a primary-care centered health plan in 2026 that is built around an advanced primary care model. Several sessions at Client Forum discussed this exciting new partnership and shared more about the benefits of alternative health plans. When they are centered around healthcare models that prioritize preventive care, alternative health plans get more people in to see their primary care provider with free primary care visits, include low or $0 copays for specialty care to make care more affordable for members, improve employee health, and lower organizational costs.  

Subramanian addressed the incentives for the employee: “The magic bullet is you get more value when you build it into the health plan. You now have the carrot of great experience and value.”  

He added, “Constantly putting the advanced primary care model as the heart of the healthcare experience is something we’re unapologetic for.”

For a busy wellness center serving employees and their families, it’s crucial to keep schedules on track and ensure members and providers enjoy a seamless, efficient, and satisfying experience. At the forefront of this mission are health center managers (HCMs), who play a crucial role in orchestrating the day-to-day operations of onsite and nearsite health centers.

Sarah MargraveSarah Margrave MSN, RN, COHN-S, CHWC, a former Navy nurse with experience in post-operation care and occupational health, joined Premise Health as an onsite wellness center manager before becoming the group health center manager for the Smyrna and Tyrone, Georgia nearsite wellness centers.

She began her nursing career after receiving a flyer about student loan repayment and joined the Navy, with her first assignment in Pensacola, Florida on the medical-surgical floor. She later managed a clinic in King’s Bay, Georgia and earned her board certification in occupational health nursing. At Premise Health, Sarah combines her clinical and management skills, emphasizing member engagement to ensure better health outcomes by building awareness and encouraging utilization of available services.

Sarah joined us to discuss how she leverages her background as a clinician and her philosophy on caring for others to create exceptional experiences for both members and providers at her sites.

What are the key responsibilities of a health center manager?

A health center manager’s day is anything but predictable. My primary responsibility is to ensure everything runs smoothly for both staff and patients. This means checking in with my team each morning to identify and address any immediate needs. If a nurse or medical assistant calls out, that means that I’m the RN or the MA for that day.

Beyond supporting my team, my duties include attending meetings, running reports for clients or leadership, working on member engagement plans, conducting site assessments, and updating policies and procedures. Flexibility is key because you never know what the day will hold.

How does a health center manager make members’ experiences better?

Engaging with members is a big part of what I do. At onsite centers, I got to interact directly with clients and take part in various member engagement programs and initiatives. This might involve attending town halls, organizing webinars, creating flyers, or even doing events like blood pressure screenings.

In May 2023, we had a big event at my last site. Even though many employees were still working remote, around 200 people showed up in person for this town hall. I’m a nurse, not a public speaker, so I was pretty nervous about it, but it went well. I was able to chat for 15 minutes about our services, and most people were surprised to learn there was a health center downstairs. Some had been working in the building for eight to 10 years and didn’t know we’ve been there for 10 years! The big thing about that site was that behavioral health as well as nutrition services were free, and that was a huge light bulb moment for many people.

At shared nearsite centers, the approach is slightly different as we serve multiple clients. While I still engage members through flyers and webinars, the focus is on maintaining a strategic calendar and ensuring all clients benefit equally from our services. All these activities help boost utilization and make sure members know about the services available to them.

What is your personal philosophy for interacting with members?

When I was in nursing school, we learned that most patients you see, mainly those coming in because they are sick, aren’t going to be at their best, so they may be short with you or hard to please. It’s important to not take it personally as they are just not feeling great.

So, I treat all my patients like they’re my kid or my momma. I want to make sure our members are getting the care that I would want my mom or kiddos to get if they’re not feeling their best. Listening to their needs and creating personalized care plans is crucial to ensuring they receive the best possible care. You’re helping them in any way possible and treating them as your family.

How can a health center manager make sure providers have a great experience?

If you have team members who aren’t happy or who are in conflict, patients feel that and they might not come back as a result.

It’s important to maintain open communication among the staff. We hold daily huddles to discuss what’s going well, what needs improvement, and to give shout outs for exceptional work. Celebrating birthdays and work anniversaries with personalized gifts also fosters a sense of community and appreciation.

Having a healthy team environment is super important for so many reasons. As the HCM, you’re basically the glue that keeps everyone together. One of your main tasks is making sure everyone feels and knows they are valued. It’s all about fostering an environment of growth and team cohesiveness.

What do you wish members knew about the services provided at onsite or nearsite wellness centers?

I wish every employee knew the full range of services we offer and how accessible they are. Our centers are designed to provide timely care, often with same-day or next-day appointments. We also offer virtual health options, so members can receive care from the comfort of their homes. Knowing and utilizing these services can significantly improve their health and well-being.

We had a member whose job was extremely stressful, and his health was deteriorating. Our provider recognized the need for a break and recommended medication and behavioral health support. Working together and utilizing the interdisciplinary care model that is unique to Premise Health Wellness Centers, the providers were able to create a plan that significantly improved his well-being, highlighting the importance of provider collaboration in achieving positive health outcomes.
